Who this is for

Teams whose customer stories have to survive a compliance read before they ever reach a prospect. We start with business-to-business stories where you can supply the facts and the permission.

Medtech

Medical device

Stories that work
  • Implementation and go-live accounts
  • Training and clinical workflow adoption
  • Commercial rollout across sites or systems
Review ruleAny performance or patient-related claim needs source support and sign-off from your qualified reviewer before it leaves the draft.
Process

From project details to a finished story.

Four steps, no calls, and a clock that starts only when the intake is complete.

01

Choose a package and pay

Pick Written Case Study or Complete Case Study Kit, pay by card, and name the person who will approve the final copy. That's the only decision you make before the work starts.

About 5 minutes
02

Send us everything

A guided intake that asks for documents before it asks you to type. Upload your brand kit, decks, call transcripts, reports, and approved product language. Progress saves as you go. No calls, no interviews.

15 to 25 minutes plus uploads
03

We analyse everything you sent

Within one business day we confirm the intake is complete, then our system reads every document, transcript, and note, builds the story angle, and traces each claim to its source. If anything critical is missing you get one message listing exactly what.

Draft, feedback, approval, delivery

The first draft lands in your portal with unsupported claims, pending quotes, and open questions marked. You comment in one place. After your approvals we deliver web copy and, on Complete Case Study Kit, the full set of designed assets.

How the two‑day clock works

The clock starts when we accept the intake as complete, during business hours. A complete intake submitted late on a Friday starts Monday morning. We aim to deliver in one business day and promise two.

If source material, a named reviewer, or an essential fact is missing, the clock pauses until it arrives. Publication waits on your approvals and your customer's, and we don't count that time against anyone.

Cutting reprocessing turnaround at a 400-bed hospital

How a sterile processing department stopped missing first-case starts without adding a fourth shift.

The problem

Before the switch, the sterile processing team at Harbor Regional (fictional) ran three shifts to keep pace with the OR schedule1. Instrument trays regularly missed first-case starts, and the department logged an average of 11 delayed cases per month across the prior two quarters2.

What was implemented

The department replaced its paper tray-tracking with a scanned workflow over one six-week rollout, keeping the existing sterilizers. Training ran in two half-day sessions per shift.

"It was the first month in years without a morning scramble."SPD manager, Harbor Regional (fictional). Quote pending written approval.

What changed

Six weeks after go-live, the team reported tray turnaround dropped to under four hours3, a figure taken from the manager's call transcript and awaiting a dashboard export. Staff also reported fewer repeat sterilization cycles4; the department has not yet pulled the number, so the draft keeps this qualitative.

How to read the markup

Sourced

Tied to a document page, a report, or a data export you supplied. Ready for your reviewer to verify.

Pending customer approval

A quote or figure taken from a transcript, email, or note you supplied. Attributed to its source and held until the person confirms the wording.

Open question

Something we could not support from the materials. We either get the source, soften the wording, or cut it. We never fill the gap with a plausible number.

Every draft ships with a source ledger listing each claim, its exact wording, the source or timestamp, the reviewer, and its approval status. The ledger is the document your compliance team will actually want.

Approvals

Who signs off on what

The usual reason a medtech or biotech case study dies in review is that nobody agreed up front who owns which decision. Here is the split we work to.

DecisionOwnerWhat that means in practice
Story angle and structureCase Study WorksWe propose the angle from your intake and confirm it before drafting. You can veto it once, at no cost.
Wording of every claimCase Study WorksDrafted by us, tied to a source, and never stronger than the source supports.
Scientific, clinical, and comparative statementsYour reviewerYour qualified medical, regulatory, or legal reviewer confirms each flagged statement. We do not create an implied safety or efficacy claim from an anecdote.
Customer quotes and namingYour customerThe person quoted approves the exact wording. The customer company approves whether the story is named or anonymous.
Logos, photos, and image rightsYour customerRecorded in the ledger with the date and the approver's name.
Final publicationYour approverThe person named at checkout gives the final go. We supply the approved version and archive the ledger.
Estimates stay estimates

"About a third" never becomes "33%". If a customer gives a range, the draft carries the range and the attribution.

No invented testimonials

We do not write a quote in a customer's voice and ask them to sign it. Quotes come from a transcript, email, or note you supply, then get approved.

Your data stays under your terms

AI tools help with transcript organization and formatting under an agreed data policy. Confidential material never goes into tools outside those terms.

About

Who is behind Case Study Works

Built by someone who has sat on both sides of the table: the agency producing the story and the regulated marketing team that has to approve it.

Kevin Glover, founder of Case Study Works

Kevin Glover

Founder

Fifteen years in digital marketing and agency work, much of it inside healthcare, biotech, and medtech teams. That means years of watching good customer stories die in review because a number had no source, a quote had no sign-off, or nobody had agreed up front who owned which decision. Case Study Works is built to remove those failure points: a fixed scope, a source ledger for every claim, and an approval path your regulatory and legal teams can actually follow.

Case Study Works takes on a limited number of stories each week so every draft is checked before it reaches you. If the queue is full, the checkout says so and offers the next available start date rather than taking your money and slipping. Kevin also writes SideRoad, a build-in-public journal, and is @gloverbuilds on LinkedIn.

For agencies

Produce case studies for your clients, under your brand

Your team stays on billable work. Upload the project notes, the client's emails or call transcripts, and your brand kit; the finished assets come back white-labelled.

  • White-label delivery on request: no Case Study Works credit anywhere on the output
  • Agency intake skips the clinical claim questions
  • Teams with a real pipeline can ask about two Complete Kits per month on a three-month minimum
FAQ

Questions people ask before they pay

Anything not covered here, write to us and you'll get an answer from the editor, not a bot.

How fast is the first draft, exactly?

Within two business days of a complete intake, during business hours. We aim for one. "Complete" means we can identify the story, there is credible supporting material, you've named a reviewer, and we know the customer's permission status.

Who does the regulatory, medical, and legal review?

Your team does. We make that review fast by keeping every scientific, clinical, comparative, and performance statement tied to a source you supplied and by flagging anything unsupported before you see it. Sign-off stays with your qualified reviewers, and the ledger records who approved what.

What counts as a revision round?

One consolidated set of comments from your team, addressed in one pass. Written Case Study includes one round, Complete Case Study Kit two. New material, a changed angle, or a stakeholder who joins after draft approval is scoped and quoted separately.

Do you write patient testimonials or clinical evidence reports?

Not in the standard packages. Patient testimonials, clinical evidence summaries, and anything promoting an investigational product carry a different review scope. We don't ask for patient-identifiable details in the ordinary intake, and we'd rather tell you no than produce something your regulatory team has to kill.

My customer only gave a rough estimate of the result. What happens to it?

It stays a rough estimate, attributed to the person who gave it, or it comes out. We'll ask whether the underlying data exists. If it does, the figure gets sourced. If it doesn't, the draft says "the team reported" and carries the qualifier.

How is our material handled? Can we get an NDA?

Yes to the NDA: ask before you upload and we'll sign yours or send ours; the clock waits until it's in place. You also don't have to upload anything. Share a view-only link from your own secure system and we'll read from there. Material is used only to produce your case study under an agreed data policy, is never used to train anything, and is deleted on request after delivery. Never send patient-identifiable information.

Do you use AI to write the case study?

Yes. Our system analyses the material you upload, drafts the story, and traces every claim back to the document, transcript, or note it came from. It does not add anything that isn't in your materials, and nothing is published without your approval. Your files are processed under an agreed data policy and are not used for anything else.

What if you can't take my project this week?

Capacity is a few projects a week, and the checkout shows the next available start date before you pay. If the date doesn't work for you, don't pay. There's no deposit to lose.
